Conference Cancellation Policy

If a registered participant is unable to attend the event, they may arrange for a substitute to attend in their place by coordinating with the conference registrar.

Should a registered participant be unable to attend and notify the conference registrar in writing by the payment deadline posted on the conference website, the registration fee may be applied as a credit toward the same event in the following year or another Global Frontiers: ICEAHIM event occurring within 12 months of the originally scheduled event.

For contributing authors, please note that if the registration fee is carried over to a future event, the paper will not be included in the current Conference Proceedings but may be considered for publication at the future event, if applicable.

If a registered participant is unable to attend and is not able to transfer their registration to another individual or event, the following refund policies apply:

 

Authors:

Registrations cancelled due to paper rejection are eligible for an 80% refund of registration fees, with 20% retained for administrative costs.

Registrations cancelled more than 60 days prior to the event are eligible for an 80% refund.

Registrations cancelled between 60 and 30 days prior to the event are eligible for a 50% refund.

Registrations cancelled within 30 days of the event are not eligible for a refund.

Failure to register after paper acceptance will incur a USD 75 review fee.

 

Non-Authors:

Registrations cancelled more than 10 working days before the event are eligible for a refund, minus a USD 75 administrative fee.

No refunds are available for cancellations made within 10 working days of the event.

 

Visa Issues:

Authors who cancel after a failed visa application will be refunded the registration fee, less USD 250 to cover paper processing costs. The paper will still be published in the Conference Proceedings, and the participant will receive an electronic copy.

Non-authors who cancel after a failed visa application will be refunded the registration fee, less a USD 75 administrative charge per registered participant, provided notification is received at least 10 working days before the event.

 

Important Note for Visa-Related Cancellations:

For refunds to be processed, Global Frontiers: ICEAHIM must receive written notification (via email) of the visa denial at least 10 working days before the conference. Cancellations received after this time will not be eligible for a refund. If printed proceedings have been ordered but the participant is unable to attend, additional postage charges will apply before dispatch.

 

Refunds will be processed as follows:

For payments made by credit or debit card, the refund will be issued to the same card.

For other forms of payment, a bank transfer will be made to the nominated account.

Important: For payments made from outside the USA via bank transfer, all bank charges will be the responsibility of the participant. This cancellation policy is effective from January 2025.
